Privacy Policy
The Orient Heights Yacht Club, Inc., 61 Bayswater Street, East Boston, MA 02128 (“the club”), runs this website, orientheightsyachtclub.com, and the members’ website on it. This policy says what information they hold, what it is used for, and who sees it.
What we hold
- Members’ records: name, member number, email address, phone numbers, mailing address, membership details, boats and slips, lockers, work hours, and the club’s bills and payments.
- Sign-in: a member’s email address and password, kept by Amazon Web Services’ sign-in service. The club never sees passwords.
- Payments: bills are paid through Stripe. Card and bank account numbers go to Stripe and are never stored by the club.
- The membership inquiry form on the public website sends the name and contact details someone enters to the club, so an officer can reply.
How we use it
- To run the club: membership, billing, slips, lockers, work hours, waiting lists, and club notices by email and text (see the text message terms).
- A member sees their own record and bills. Officers see what their office needs, set by the club: for example, the Treasurer handles bills.
- We do not sell, rent or share members’ information with anyone for marketing. It goes only to the services that run the website for us: Amazon Web Services (hosting, sign-in, email and texts, in the United States), Stripe (payments) and, for the club’s own books, Intuit QuickBooks Online (below).
- The website uses no advertising or tracking cookies. Your browser keeps your sign-in and a few display choices, such as the last tab you opened.
The club’s QuickBooks Online connection
The members’ website can send the club’s billing records to the club’s own QuickBooks Online company, so the Treasurer keeps the books in one place. It is a private connection used only by the club, for the club’s own company. It is not offered to anyone else.
- Who can use it: only the club’s Treasurer and the website’s administrator connect it, choose its settings and send records. The club’s board can see whether it is connected and what was last sent.
- What is sent to QuickBooks: for each member billed, a customer under their name; each bill as an invoice (bill number, dates, each charge and amount); each payment against it (amount, date, and for a check, its number); the fees Stripe charged the club; and Stripe’s transfers to the club’s bank. Nothing else about members is sent: no email addresses, phone numbers or mailing addresses.
- What is read from QuickBooks: the company’s list of accounts, so the Treasurer can choose where each kind of money goes, and customer names, so each member is matched to the right customer and not entered twice.
- What the website keeps: the QuickBooks company number; the sign-in tokens QuickBooks issues, kept encrypted in Amazon Web Services’ parameter store and never shown on any page; the Treasurer’s account choices; which QuickBooks customer each member is matched to; and the QuickBooks number of each record it sent, so nothing is ever sent twice. It does not copy the company’s other books, bank details or reports.
- Disconnecting: the Treasurer can disconnect at any time, from the QuickBooks Online card on the members’ website or from the Apps page inside QuickBooks. Disconnected from the card, the website deletes its sign-in tokens straight away; disconnected inside QuickBooks, Intuit cancels them at once and the website deletes its copy the next time it is opened. Either way nothing more is sent. Records already in QuickBooks stay there, in the club’s own company.
- Information in QuickBooks is held by Intuit under the club’s QuickBooks account and Intuit’s own privacy statement.
How long we keep it
Members’ records are kept while they are members and afterwards as the club needs them for its records and accounts. Billing records are kept as long as the club’s financial records must be.
Keeping it safe
The website runs on Amazon Web Services in the United States. Every page and the members’ website use encrypted connections (HTTPS). Members sign in with their own password, each officer sees only what their office needs, and changes to bills and to the QuickBooks connection are logged with who made them.
